Descriptions of PTSA Committees for AJ Elementary

 

Accelerated Reader

Description- A computerized reading program for grades 3-5. Students set reading goals based on their reading level and read books from the AR list, after reading their book the students quiz their comprehension with online tests.  Students earn points based on the reading level and difficulty of each book. 

Things to be done- Order prizes, collect completed goal sheets from teachers, distribute monthly or quarterly prizes to student.  Run and organize quarterly parties for students that reach their goal.

Time commitment needed- 3-4 hours/month
Timeline- Sept through June
Budget: $1000.

 

Art Program Coordinators:
Description- Coordinate and recruit the adult volunteers that teach art lessons to the students.  Each month is a different genre of art or different artist, from modern art to impressionism.  All prints as well as lesson ideas are provided by the Green River Center for Interurban Arts. 
Things to be done:  Go through training to become Art docents, recruit and train volunteers.  Order art supplies and maintain art room.  Coordinate a bulletin board to highlight student art.
Time commitment: 6 hours/month
Timeline- October-May
Budget: $1000.

 

Art Docents-
Description;  Once a month (or as schedules permit) volunteers will present an artist to the classroom and do an art project based on that artist.
Things to be done-Prepare for art lesson, and then present lesson to each classroom, display art on a bulletin board
Time commitment- 2-4 hours a month
Timeline-October-May

Assembly Coordinator:
Description: This person(s) will gather ideas and choose appropriate assemblies that work within our budget and meet the needs of the school.  This person is also the contact person and will need to coordinate space and times with the school.  Ensure that each assembly has been put on the school calendar. 
Things to be done: Fill out school use permits, collect invoices and make sure payment is made to each hired performer.  Make thank-you cards/poster for each act.
Time commitment: Depends of the number of assemblies scheduled.

Budget: $2500.

Audit Committee
Description: This is a crucial committee that will meet once a year to look over our financial records for the IRS.  This is a mandatory committee that will coordinated in January.

Book Fair Committee
Description: Coordinate with Scholastics Books to run a bookfair for the school.  Sell books and related items to the students durning lunch recesses and afterschool.
Things to be done: Set up and clean up books.  Schedule volunteers, order books and supplies as needed.  Set up booklists for the teachers.  Count and turn in $ to the treasurer.
Time Commitment: 10+ hours/event
Timeline: 3 times/year

Box Top/Campbell Labels
Description: This is a take home fundraiser!!  Collect box tops and soup labels from the students and turn them in for $$ for the school!

Things to be done: Inform parents at the beginning of year with a few flyers, collect box tops and soup labels, bundle them in appropriate packages to send to the company.
Time Commitment: 1-2 hours/month or quarter
Timeline: monthly or quarterly

Carnival Committee
Description:  This could be the most exciting and anticipated event of the year!!  Putting on a great carnival is a huge task with huge rewards!!  The kids love it and it brings the community together!!

Things to be done: Set up flyers and advertise, organize booths and events, organize a committee to handle different parts of the carnival: Games, food, tickets and prizes, volunteers, set up and clean-up.

Time Commitment: Chairpersons 3-4 hours/month up to the week of the event.  Week of the event 2 hour shifts.
Timeline: Now-June 5th
Budget: $2500.

 

Dr. Seuss Week
Description: This is a celebration highlighting reading using the theme of Dr. Seuss.  Various events can include special readings, dress up days, buddy reading, art contests, writing contests, and an evening reading event.

Things to be done:  Coordinate with the staff with various events, provide flyers, recruit volunteers.

Time Commitment: 4-6 hours
Timeline: One time event
Budget: $50

 

Family Night
Description: Help organize volunteers to run a Bingo night, or a movie night throughout the year.
Things to be done: Advertise the event through our newsletter and school bulletins, buy supplies and prizes.    Coordinate set up and clean up of the event
Time Commitment: 4-5 hours/event
Timeline: 1-2 times a year.
Budget: $300

Giving Tree
Description:  We support our families in need by setting up a giving tree in the AJ hallway.  We will coordinate will the counselor the ages and typical items needed, and hang up ornaments displaying those needs. 

Things to be done:  Set up and decorate tree in the hall.  Create ornaments with the necessary information. Take down and store tree.

Time Commitment: 5-6 hours
Timeline:  Just before Thanksgiving break

 

Ice Cream Social
Description: A fun event for the whole family.  Spend time socializing with friends and family while enjoying some treats!

Things to be done: Announce the date and time of the event,  gather supplies, pass out ice cream and clean-up.
Time Commitment: 3- 4 hours (depending on # of helpers)
Timeline: One time
Budget: $ taken out of family night ($50)

Membership: 
This committee recruits new members and recognizes those members signed up for PTSA.  We will set up tables at various school functions, and a display that shows the strength of our AJ PTSA.

Things to be done: Create and distribute flyers, set up a bulletin board to show our membership. Enter members into our database for PTA and distribute membership cards.
Time Commitment:10+ hours
Timeline: Late August-September.

Popcorn Committee: 
Description: The kids love looking forward to their special treat during the school week!! It’s an easy way to meet the kids and provide popcorn.  You’ll be a very popular parent!! 

Things to be done: Pop popcorn and put into bags, sell popcorn during lunch recess, and clean up the machine. Keep track of students that have pre-paid popcorn.
Time Commitment: 2-3 hours on a Friday
Timeline: Sept-June  (once a month)

Raffle/Silent Auction
Description:  A fun way to buy great prizes while earning money for the school. During the carnival we will have an area dedicated to raising more money for the PTSA. 

Things to be done: Collect donations from various businesses and organizations.  Create grade level baskets to be auctioned off.  Organize all the donations will auction forms and set up the area during the carnival. Work to continually look for unique ways to receive donations.
Time Commitment: 20+ hours
Timeline: Sept-June 5th

 

Rebates/Escrip
Description:  This is a passive fundraiser!! We do nothing but sit back and watch our money grow.  It is based on the amount of normal purchases tied to a persons Safeway card, Albertson’s card, credit card, Target Card etc.

Things to be done: Choose the passive fundraisers that we participate in, and create flyers to inform parents of our involvementSet up a table during school events to recruit and enlist new members into various programs.
Time Commitment: 4-5 hours
Timeline: one time

 

Reflections
Description: 2008-2009 Reflections theme is "Wow!" The Reflections Program is a National PTA and Washington State PTA cultural arts competition. The purpose of this program is to provide an opportunity for students to use their creative talents by expressing themselves through their own original works. This committee coordinates the recognition and judging of artworks.

Things to be done:  Copy Reflections information packets to classrooms.  Present information either at an assembly or in each classroom.  Collect entries and create a panel of judges to rate the art work. Buy awards or create certificates, display art work and present awards to the participants.

Time Commitment: 10+ hours
Timeline: Present program in Oct. and collect art work in nov.
Budget: $100

 

Science Fair Committee
Description:  Students will be encouraged to set up a science experiment and exhibit to share will the community. We need volunteers to help coordinate this educational event.

Things to be done: Set up procedures and “how to’s” and information packets to take home.  Coordinate with the staff to set up a timeline and date. Help out st the evening fair, with set-up and take down, and refreshments.  Coordinate a criteria for judging each project.

Time Commitment:5+ hours
Timeline: Start planning in Feb. Event Date yet to be determined.
Budget: $50.

 

Staff Appreciation Committee
Description:  Help out with special days/events to recognize our amazing and dedicated staff.  We do a dinner for our staff during the evening conference week on Nov. 20th, and also hold various special events during staff appreciation week, May 4-8.

Things to be done:  Help oordinate a meal for the evening conference night.  Put out a flyer to the parents requesting help. Help provide special treats and events for our staff during staff appreciation week.  Your time will depend on the number of people able to help out.

Budget: $500-1000

Time Commitment: 2-3 hours for conf. dinner and 3-4 hours staff. Appr. Week.  (Depends on the number of volunteers)
Timeline: Start planning in early Nov. for dinner, and Early April for SA week.

Walkathon Committee
Description:  PTSA’s biggest fundraiser of the year.  We hope to raise $12,000-15,000 for our programs this upcoming school year. 

Things to be done: Help to put together information packets, prize lists, and sponsor sheets. Tell all the kids about the kick-off!!  Set up timelines and coordinate with the principal and PE teacher how the walk-a-thon will take place. Collect money and sponsor sheets, order and deliver prizes.

Time Commitment: 2-3 hours

Timeline: Late August-Mid October.

Budget:$1200

Yearbook
Description: Help with the creation and distribution of the school yearbook.  The committee will oversee the production of the yearbook by collecting candid pictures of different school events and functions.
Things to be done:  Decide on a vendor, choose different themes and layouts.  Collect and take pictures from different school events and functions.  Take pictures of school groups/teams.  Collect money and distribute yearbooks at the end of the year.
Time Commitment: 15+hours taking photos and doing layouts, and 20+ hours near the end of the school year.
Timeline: all school year

 

 

3-5 Reading
Description:  Distribute and collect reading logs from the teachers. Use the “Book-It” incentive program from Pizza Hut to reward students for reading.  Pass out awards, and the trophy for the most minutes read for each grade level.
Things to be done:  Collect and distribute monthly reading logs. Keep a running total of minutes read by each class, pass out reading prizes.  Go to the monthly awards assemblies and present trophies.
Time Commitment: 3+ hours/ month
Timeline: Sept-June

 

STAR K-2 Reading
